In my fifth year of college, I started working for my university full time in the athletic department. It was in this first job that I learned an important lesson that I have taken with me to every job I’ve ever worked.

What is that lesson?

The lesson is this, learning how to set up your most essential productivity system. The three pillars of this system focus on your calendar, email, and task management software.

In every job I have worked this has been true. With college athletics there were a lot of meetings, events, and projects. In non-profit work, I have used these to drive my work since it was all on me. And with insurance work, there are a lot of legal timelines to follow.

Today, I wanted to share with you how to create your basic system to help you be efficient and productive no matter what you do.

3 Pillars of the Essential Productivity System

Creating a productivity system is essential to managing work, time, and life.

A productivity system helps you plan your tasks, prioritize them, and track your progress. It makes it easier for you to stay focused, avoid distractions and achieve your goals.

This section will explore calendars, email, and task management software as critical components of a productivity system.

Calendars

Calendars are essential tools for managing time and planning your tasks. They can help you track appointments, deadlines, and other events that you need to attend.

Calendars are the first step in creating a productivity system. Many options are available, such as paper, digital, and smartphones. The choice of which one to use depends on personal preference and the type of tasks you need to manage.

Digital calendars are the most convenient and efficient as they can be accessed anywhere at any time. They also can integrate with other productivity tools like email and task management software.

Google Calendar is an excellent example of a digital calendar that can be used to create a productivity system. It is easy to use, accessible and has many features such as reminders, scheduling, and task management.

Email

Email is another essential component of a productivity system. It is a fast and efficient way to communicate with others and get things done. However, managing email can be challenging as it can be a significant source of distraction and interruptions.

To overcome this challenge, you must develop a system for managing your email. This can include creating a folder structure to categorize emails, using filters to sort incoming emails, and setting aside specific times of the day to check and respond to emails.

Another helpful tip is to unsubscribe from unnecessary emails that add to the clutter. This will reduce your time managing your inbox and allow you to focus on essential tasks.

Task Management Software

Task management software is a tool that helps you manage your tasks and projects. It provides an easy way to keep track of your to-do list, prioritize tasks, and set reminders. Task management software can help create a productivity system as it allows you to manage your tasks in one place.

Trello and Asana are two famous examples of task management software you can use to create a productivity system. They provide a visual way to organize your tasks, prioritize them and monitor progress. Both of these tools have mobile apps, which make it easier to access your tasks on the go.
